Follow the steps below to ensure that your team is paid accurately and on time, and that your P&L is accurate and up to date.
1. Respond to paid time off (PTO) requests.
- Approve or deny PTO requests in UKG. This ensures that approved PTO will flow through to your team's timesheets.
- When: respond to PTO requests as part of your daily routine; you must respond to PTO requests for a given week before approving that week's timesheets
- Review and fix issues on timesheets daily.
- This could include missed punches, leaving reasons for missed shifts, etc.
- It's critical to fix issues quickly as some errors require team member approval before they can be saved.
- When: daily
3. Final review of timesheets.
- Complete a final review of the prior week's timesheets, not just for errors but for overall accuracy.
- When: Monday at open
4. Final approval of timesheets.
- Approve timesheets in Harri.
- This ensures payroll accuracy and allows enough time for the P&L to pull correct data.
- When: Monday at open
5. Distribute tips.
- Enter each day's POS tips and distribute them in Harri.
- If you make a timesheet edit after distributing tips, you will need to repeat this process to redistribute tips.
- When: daily after timesheet is verified for accuracy; final review at the close of each pay period
- Close the pay data sheet in Harri.
- This locks your team's timesheets and signals to the Payroll team that your timesheets are accurate and ready to be paid.
- When: every other Monday (close of each pay period) at open
